Fee, EMI & Installment Policy
Document Status: Draft — Finance/Management Approval Required
Official rules for program fees, offers, installments, overdue payments, receipts and refund linkage.
1. Purpose
This policy standardizes program fees, booking amounts, discounts, installments, EMI communication, payment records, overdue handling and refunds.
2. Official Fee Rule
Only the approved program fee, early-admission offer, scholarship and payment plan recorded in the Academy CRM/admission documents may be offered. Counsellors must not create unofficial fees or installment promises.
3. Standard Payment Options
- Full Payment (Digital Marketing example: ₹44,999 approved early-admission one-time payment) — best approved one-time offer where eligible.
- 2 Installments (example: ₹25,000 + ₹24,999) — second installment normally due within 30 days.
- 3 Installments (example: ₹19,999 + ₹15,000 + ₹15,000) — fixed dates must be written in the admission schedule.
- External EMI (6-12 months where available) — only through an approved regulated payment/finance partner.
4. Booking Amount
- Career programs: recommended booking amount ₹5,000.
- Premium/Full Stack programs: recommended booking amount ₹10,000.
- Booking is adjusted against the final approved fee.
- Booking is not a substitute for the signed admission and refund terms.
5. Discount & Scholarship Controls
- Website fee is the starting official fee.
- Early-admission offers require a genuine batch-based offer.
- Scholarship reductions require a documented reason and the appropriate approver.
- Below-floor exceptions require Academy Head/authorized management approval.
- Every discount must be recorded in CRM with reason, approver and final fee.
6. Due Dates & Overdue Process
- 3 days before due date: automated/manual payment reminder.
- Due date: payment confirmation reminder and receipt instructions.
- 1-3 days overdue: grace-period follow-up; document reason and expected payment date.
- 4-7 days overdue: escalate to Finance/Admissions; learning access may be restricted only if the signed terms allow it.
- More than 7 days overdue: formal payment plan/recovery decision; do not improvise penalties.
- 30+ days overdue: management review for continuation/cancellation under signed terms and Refund Policy.
7. Receipts, Invoices & Taxes
- Provide an official receipt/invoice for every accepted payment.
- Disclose whether listed fees are inclusive or exclusive of applicable taxes before the student pays.
- No undisclosed tax or processing charge may be added after payment confirmation.
- Cash collection, if permitted, must follow finance controls and generate an official receipt.
8. Refunds & Cancellation
Refund eligibility, deductions and timelines are governed by the current Grow Biz Academy Refund & Cancellation Policy and the signed admission agreement. This payment policy does not create a separate refund entitlement.
9. Security & Unauthorized Payments
Students should pay only through official Academy payment channels. Staff must never request payment into personal bank accounts or personal UPI IDs. Any suspected payment fraud must be escalated immediately.
10. Document Control
Before public use, Finance/management should confirm the tax treatment, invoice workflow and any access-restriction rule with the Academy's accounting/legal advisers.
